Owlypia is committed to protecting the privacy, safety and wellbeing of children and young people who participate in Owlypia programmes. This Children’s Privacy Notice explains how Owlypia collects, uses and protects information relating to students under the age of 18. This notice should be read together with the Owlypia Privacy Policy, Safeguarding Policy and Photo, Video and Media Policy.
This notice applies to students participating in Owlypia programmes, parents and Legal Guardians supporting student participation, and schools, teachers and supervisors involved in Owlypia activities. Owlypia works with students aged 9–18 through online learning activities, competitions, events and educational programmes.
Owlypia recognises that children require additional protection when their personal information is collected and used. We collect only information needed to provide educational services, use information only for clear and appropriate purposes, protect student information from unauthorised access, and consider children’s safety and best interests when making decisions involving their information.

Owlypia uses student information to create and manage student accounts, provide access to learning resources, deliver Online, Local, Regional and Global Rounds, assess student work, provide feedback and reports, issue certificates and awards, manage event participation, maintain participant safety, and communicate important programme information.
Depending on applicable laws and the student’s location, Owlypia may require Parent or Legal Guardian approval before certain activities or uses of information. Parents or Legal Guardians may be involved in student account registration, participation approval, media permissions, and requests relating to student information. Owlypia recognises that parental involvement requirements may differ between countries and applies appropriate processes based on applicable requirements.
Students may access Owlypia online services, including the Learning Management System. Owlypia takes measures to support safe online participation by protecting student account information, limiting access to authorised users, supporting responsible use of digital platforms, and addressing concerns related to inappropriate online behaviour.
Owlypia may recognise student achievements through certificates, awards, results and programme communications. Where student achievements are published publicly, Owlypia aims to minimise unnecessary personal information. Examples of limited information may include first name, initial, country, and award or achievement information. Owlypia avoids publishing unnecessary personal details that may affect student privacy or safety.
Owlypia may collect and use photographs, videos and student stories to document educational experiences and celebrate achievements. Media use is managed according to the Owlypia Photo, Video and Media Policy. Owlypia considers student safety, appropriate permissions, the purpose of publication, and the amount of personal information shared.
Some Owlypia activities may use AI-assisted tools to support educational processes, including assessment activities. Owlypia applies appropriate safeguards when using technology involving student submissions and learning information. AI tools are used to support educational services while maintaining responsible assessment practices.
Owlypia may share student information only when necessary to provide services or meet legal and safeguarding responsibilities. Information may be shared with schools and authorised educators, technology service providers, event partners, and organisations supporting Owlypia services. Owlypia does not sell children’s personal information.
Owlypia applies reasonable technical and organisational measures to protect student information. These measures include access controls, responsible handling procedures, limiting information access according to roles, and reviewing practices to improve protection.
Depending on applicable laws, parents and legal guardians may request information about how student data is used, access to relevant information, correction of inaccurate information, deletion requests where applicable, and clarification regarding media or participation permissions. Requests can be submitted through Owlypia’s official contact channels.
Owlypia is an international educational organisation. Students may participate from different countries with different legal requirements relating to children’s privacy. Owlypia considers applicable privacy and child protection requirements when delivering programmes internationally.
Owlypia may update this Children’s Privacy Notice when services, programmes, legal requirements or privacy practices change. The latest version will be available through official Owlypia channels.
